Privacy Policy

At quickChallan, we take your privacy seriously. QuickChallan is used by plywood, timber, laminate and hardware traders to maintain business records. We store and sync the data needed to run the app, and sensitive business records are encrypted where supported by the app. This policy explains what we collect, why we use it, and how you can control or delete it.

1. Information We Collect

1.1. Account and Contact Information. When you register, sign in, or create a business profile, we may collect your email address, phone number, authentication identifiers, business name, trade name, city, state, pincode and subscription status. This is required to identify you, secure your account, manage your plan, provide support and contact you about your use of QuickChallan.

1.2. Business Records. You may enter business profile details, parties, customers, suppliers, phone numbers, addresses, GSTIN, challans, estimates, purchases, purchase returns, ledgers, stock records, payment entries, bank accounts, notes and files. These records are stored so that the app can sync across your devices and generate documents.

1.3. Encryption. QuickChallan encrypts supported sensitive business records before storing them. Limited account and contact metadata, including business name, trade name, owner email, phone number, city, state and pincode, may be stored separately in readable form for onboarding, support, service communications, subscription help, abuse prevention and follow-up if your account becomes inactive. Other service data, such as account login, subscription status, payment session metadata, notification settings and operational logs, may also be stored separately so the app can function. You should keep your PIN and exported encryption key safe; without them, encrypted records may not be recoverable.

1.4. Optional Usage Data. If you allow it in the app, we collect limited usage events such as feature usage and app update alerts. We do not send customer names, phone numbers, GSTIN, addresses, invoice files or cash details in analytics.

1.5. Optional OCR and Files. If you enable and use purchase bill OCR, the selected bill image/PDF may be uploaded and processed to read supplier, item, tax and total fields. Purchase bills can contain third-party personal data, so this feature is optional and can be turned off in Settings.

1.6. Payments. If you pay for a plan or add-on, payment amount, order ID, payment ID, business name and phone/email where available may be shared with Razorpay to process the payment and confirm subscription status.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the quickChallan service;
  • Sync your business data across your devices;
  • Authenticate your identity to prevent unauthorized access;
  • Process subscriptions, add-ons and payment confirmations;
  • Send internal admin alerts when a new business joins or creates its first challan;
  • Provide onboarding, customer support, service updates, subscription help and follow-up if you stop using the app frequently;
  • Provide optional OCR, update alerts and support chat if enabled or used;
  • Improve our software and fix bugs.

3. Data Security

We implement robust security measures to protect your data. Key measures include:

  • Cloud Security: Data is stored using Google Firebase/Google Cloud infrastructure with access controls and database security rules.
  • Encryption in Transit: All data transfer occurs over secure SSL/TLS connections.
  • App-Level Encryption: Supported sensitive business records are encrypted by the app. You are responsible for keeping your PIN, device access and backup encryption key safe.
  • Restricted Admin Contact Records: Limited account and business contact details may be stored in readable admin records. Access is restricted to authorized QuickChallan support/admin users and backend functions.
  • Backups: Encrypted backup is available so you can keep your own copy. If you choose not to take backups, QuickChallan cannot guarantee recovery after deletion, device loss or key loss.

4. Third-Party Services

We share data only when needed to operate the service, process payments, provide optional features, or comply with law. Service providers may process data under their own security and compliance terms:

  • Google Firebase / Google Cloud: Authentication, Firestore database, Storage, Cloud Functions, Hosting, notifications, analytics if allowed, and OCR processing if enabled. App backend functions are configured for India region where supported. Some Google support, security, analytics, messaging and CDN processing may use Google infrastructure outside India.
  • Razorpay: Subscription and add-on payment processing.
  • Email delivery provider: Used to send operational and internal admin alert emails, such as new-business and first-challan notifications, which may include business/contact details needed for follow-up.
  • WhatsApp / Device Share Sheet: Used only when you choose to share a document or message from your device.
  • Google Analytics and Google AdSense: Used on the public website only after cookie consent. These services may process cookie, browser, page view and device signals on Google systems.
  • Google Fonts / CDN: Public website fonts and static assets may send browser/IP request metadata to Google or CDN infrastructure when pages load.
  • Website chat: If you contact us from the website, chat identifiers may be stored in your browser and the message details are stored so our support team can reply.
  • PDF and image libraries: Used to generate documents on your device or browser.

5. Retention, Backup & Data Deletion

You can correct or delete business records inside the app. You can also reset workspace data from Settings. Resetting workspace data is intended to erase operational business records while keeping your login and subscription record active. Please export an encrypted backup before reset if you may need the data later.

For GST, tax, accounting or legal compliance, traders may be required to keep billing records for a prescribed period. You should consult your accountant before deleting records that may be required by law. Where law requires retention, deletion may be limited to what is legally permitted.

Admin contact and lead records are retained while your account or service relationship exists, unless you request deletion and we are not required to keep the information for legal, security, fraud prevention, billing or dispute purposes.

6. Your Choices

  • You can turn optional analytics, update alerts and purchase bill OCR on or off from the app.
  • You can choose whether generated images are saved to your phone gallery.
  • You can request help for access, correction, deletion, consent withdrawal or grievance redressal from Settings > Privacy & Consent or by using the contact below.
  • You may approach the Data Protection Board of India after using our grievance channel, as permitted by applicable law.

7. Short Notice in Hindi and Gujarati

Hindi: QuickChallan आपके व्यापार रिकॉर्ड सुरक्षित रखने और ऐप चलाने के लिए डेटा स्टोर करता है. सपोर्टेड रिकॉर्ड्स एन्क्रिप्ट किए जाते हैं. Analytics, notification और OCR आपकी पसंद से चालू/बंद हो सकते हैं.

Gujarati: QuickChallan બિલ, સ્ટોક અને લેજર માટે જરૂરી બિઝનેસ ડેટા સ્ટોર કરે છે અને સપોર્ટેડ રેકોર્ડ્સ એન્ક્રિપ્ટ કરે છે. Analytics, notification અને OCR તમારી પસંદ મુજબ ચાલુ/બંધ કરી શકાય છે.

8. Children's Privacy

Our Service is for business users and is not directed to anyone under the age of 18. We do not knowingly permit children to create business accounts or collect children's personal data for behavioural tracking or targeted advertising.

9. Updates to this Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. You are advised to review this Privacy Policy periodically for any changes.
